The Sales Admin Executive is primarily responsible for providing administrative assistance to the Sales staff; particularly the Head of Business, Sales Manager(s) and Sales Consultants, to aid in achieving/exceeding the targeted sales of AFM Vehicles   (Commercial Vehicles) while maintaining/ improving the customer service experience.


KEY ACCOUNTABILITIES: Specify the output required from the job. Identify not more than 7 Key Accountabilities & their performance indicators. NB-Focus on outcomes not tasks


Description of the AccountabilityEnsure that all documentation  for a sale/proposal are complete as per SOP which includes: checking that the necessary approvals are obtained, documentation submitted by customers/sales consultant is complete and that the necessary entries are made in the respective manual/system records


To support Sales Consultant and handle all works related to the deal which includes: creating sales order, tagging of chassis, follow up with PDI, coordination of the logistics of chassis and Invoicing.


Assist the Branch and Sales Managers and corresponding with Sales Consultant for quotations/issues and providing information on SOP / process, as well as liaising with internal departments as and when required (Finance, PDI, Fabrication companies, etc..)


Ensure timely submission of reports requested by the line manager


JOB CONTEXT: Define organizational policy and other factors that have a critical impact on the job


Creating and updating reports and presentations in time to meet management deadlines while maintaining accuracy of the data bearing in mind that the figures constantly changeQUALIFICATIONS, EXPERIENCE, & SKILLS:


Minimum Qualifications and Knowledge:


  • Must hold a High School Degree
  • ICDL or equivalent desired


Minimum Experience:


  • At least 3 years of experience in a similar role gained in the service industry OR secretarial experience at an executive level preferably in a Sales and Marketing department


Job-Specific Skills:


  • Good communicator in English; Arabic an advantage
  • Excellent computer skills including MS Office (Word, Excel, Powerpoint)
